Dear David,

Re coded address lookups from data in word.

I have developed an application and some Word Macro code that facilitates address lookups from a database for insertion into a document.

This is done ‘on the fly’ from a right click menu.A short contact code is typed into the document by the user and then the user right clicks on the code.

A popup menu appears with and Address Lookup option. If this option is selected the code is matched in the database and the data is shown to the user with clickable options to insert the relevant name along with the address, fax or DX address

A further option allows the user to open a database maintenance screen to Add, Update, Delete or Search for contact addresses.

I have taken some screenshots of the process in this document.

Note the reference VP0002 above.

When right clicked with the cursor on this reference there is a menu displayed which has a new option – Address Lookup – at the bottom.

When the Address lookup option is highlighted with the mouse then a lookup into the database is done and returns data…

Clicking on parts of this data will insert either:

The Contact Address

The Contact Fax

The Contact DX etc..

Clicking on the code at the bottom of the returned data will launch the database maintenance programme to allow the user to Add, Update, Delete and Search for records from the contact database.

The application comprises of an MS Access or SQL based database with either with an application (as above) or, for use on intranets, a Web Interface to maintain it and a Word macro template which is installed into the Word startup folder for each user. The database and application can be located on a network drive for use by a number of users.

It can also be developed to link directly into existing contact databases in Access or SQL server in situations where firms have those established.

Within the Word macro code I have also provided calls to allow for the automated insertion of address data from site specific macro code so that this could, for example, be done automatically on the opening of a document which had relevant address codes in it.
